What is NovakOS?

NovakOS is field service and business management software for trades companies. It brings scheduling and dispatch, customer and job records, quotes, invoices, payments, field forms, photos, documents and technician time tracking into one system, so the office and the field are working from the same information.

Who is NovakOS built for?

Trades and field-service businesses: HVAC, plumbing, electrical, construction, roofing, refrigeration, appliance service and similar work. If you dispatch technicians to customer sites, quote work, invoice it and need a record of what happened, NovakOS is designed for you.

Is NovakOS available today?

Not as a general public sign-up product yet. The web and desktop platform is nearing completion, and the mobile experience is still being completed and tested for field use. We are speaking with Canadian trades companies now so they can see NovakOS as it gets ready and, if it's a fit, take part in early real-world testing.

Will technicians be able to use NovakOS on their phones?

Accepted Answer

Yes — that's the point of the field side. Technicians see their assigned work, open the job and customer details, fill in job forms, take photos, attach documents, track their time, run through the job lifecycle from dispatched to closed out, and capture a customer signature on site.

Does NovakOS work offline?

Accepted Answer

Yes. The technician experience is built offline-first. The work a technician needs — today's and tomorrow's jobs plus recent history — is kept on the device, so job details, forms and photos stay usable without signal. Changes made offline are queued and sent up automatically when the connection comes back, and NovakOS shows sync status and flags anything that needs a person to resolve.

Can customers approve quotes electronically?

Yes. A quote can be sent to the customer for digital acceptance and signature, or signed on site on the technician's device. The sent version of a quote is preserved exactly as the customer saw it, and later changes create a new revision rather than quietly altering history.

Can NovakOS create invoices?

Accepted Answer

Yes. Invoices can be produced from accepted quotes and completed work, with line items, balances, payment history and a record of what is still outstanding.

Can customers pay through NovakOS?

Accepted Answer

Yes. Customers can pay an invoice through a payment page. Card payment processing is performed by Stripe. NovakOS records the payment against the invoice and supports refunds and payment history.

Can NovakOS track technicians' time?

Accepted Answer

Yes. NovakOS records clock-in and clock-out along with job time, applies pay-period and overtime rules, tracks paid sick, vacation and statutory leave and on-call pay, and produces payroll reporting and exports. NovakOS does not calculate or remit payroll taxes — those exports are intended for whoever runs your payroll.

Does NovakOS support multiple technicians on a job?

Yes. More than one technician can be assigned to a job, each with their own time records, and forms can be completed collaboratively. Assignment changes are kept as history so you can see who was on a job and when.

Can I store job photos and documents?

Accepted Answer

Yes. Photos can be captured on site and organized into categories, and documents can be attached to jobs and customers. Photos and completed job reports can also be shared with the customer through a secure link.

Can customers receive appointment reminders?

Accepted Answer

Yes. NovakOS supports day-before appointment reminders, on-my-way notifications when a technician is dispatched, and customer confirmations, delivered by email or SMS depending on how your company is set up and what the customer has agreed to receive.

Is NovakOS designed for Canadian businesses?

Accepted Answer

Yes. NovakOS is Canada-focused to start: Canadian dollars, Canadian time zones and Canadian conventions throughout the product. Expanding beyond Canada isn't the current priority.

Can I import my existing customer information?

Accepted Answer

Customer and job information can be imported from a structured file such as a spreadsheet export. How smooth that is depends on what your current system can export — we go through your data with you during onboarding rather than promising a one-click migration from any particular product.

Is my company's data separated from other NovakOS customers?

Accepted Answer

Yes. Every record in NovakOS belongs to one company, and access is enforced at the database level so one company's users cannot read or change another company's records. Within your company, role-based permissions control who can see sensitive areas such as payroll and billing.
